Only identifiers go to external sources

EnaTTO imports publications by ORCID iD from OpenAlex and by DOI from Crossref, checks patent applications against the EPO by publication number, and supports institutional sign-in and bulk import of people and units. External sources receive only identifiers; no names, notes or invention content.

ORCID and OpenAlex

Up to the 100 newest publications are imported by ORCID iD; the name on the ORCID record is shown first.

Crossref by DOI

Add a single publication by DOI; publications are de-duplicated by DOI or OpenAlex ID.

Keyword suggestions

Publication topics are suggested for the expertise profile; nothing changes until you pick them.

EPO check

Published application data and the EP Register status are compared with your record; you choose what to update.

Institutional sign-in (SSO)

Sign-in with your institutional account can be set up; on first sign-in users are matched by e-mail.

CSV and Excel import

Import people and units from a file; a preview shows each row’s outcome before anything is saved.

Publications and expertise profiles

With a person’s ORCID iD, up to 100 publications are imported from OpenAlex, newest first; the name on the ORCID record is shown first so a wrong iD is easy to spot. A single publication can be added by DOI from Crossref. Importing again updates existing publications; a publication you removed does not come back.

Publication topics are shown as suggested keywords that are not yet on the profile; the expertise profile changes only when the person selects them. Importing and adding are open to the person themselves or an industry collaboration manager. Only the ORCID iD or DOI is sent out.

EPO check

The EPO check on a patent application reads the bibliographic data of the published document from EPO Open Patent Services and, for EP documents, the EP Register status. Queries use the publication number only; an application without one is never queried, and no title, note or person’s name is sent.

Fields that differ from your record and a suggested status are shown; you choose what to apply. The status suggestion is a rule-based match on the register text, not a legal determination. The EPO access credentials are your institution’s own.

Institutional sign-in and staff import

Sign-in with an institutional account (enterprise SSO) is configured in the identity provider. A user who signs in is linked once to the directory person with the same e-mail address who is not yet linked to an account, and the match is written to the audit log.

People and units are imported from CSV or Excel (up to 2 MB and 2,000 rows, Turkish and English headers). The preview writes nothing and shows each row’s outcome: add, update, no change, or an error with its reason. When applied, empty cells do not erase existing values and every change is audited.

Notification e-mails

Alongside in-app notifications, e-mails are sent through the ENA Cloud notification service. Notification text carries no confidential content, only a record code and a link.

Frequently asked questions

Is personal data sent to ORCID or OpenAlex?
No. Only the ORCID iD or DOI goes out; no user e-mail, name or note is sent.
Does the EPO check update the record automatically?
No. Differing fields and a suggested status are shown; you choose what to apply, and the change is written to the audit log.
Can Turkish national applications be checked?
TÜRKPATENT has no public API, so TR applications are checked only through their EPO publication data, when it exists.
Can a bulk import damage existing data?
The preview writes nothing. When applied, rows with errors are skipped, empty cells do not erase existing values and every added or updated record is audited.
