Frequently asked questions
Short, clear answers about what EnaTTO does, how it protects your data and how you can get started.
General
4 questionsWhat is EnaTTO?
EnaTTO is management software for technology transfer offices. Invention disclosures, assessment and committee decisions, the patent portfolio, funding calls and projects, industry collaboration, startup programmes, training and events, technology commercialisation and reporting run on one platform.
Who uses it?
TTO managers and specialists manage records; academics submit invention disclosures and project proposals; institutional management sees aggregate reports; patent attorneys and external reviewers see only the records they are assigned to, with time-limited access. Companies, founders and event attendees use public forms without an account.
Is there a mobile app?
No. EnaTTO is a web application that runs in the browser.
How do notifications arrive?
In the app and by e-mail. Notification and e-mail texts carry no confidential content, only the record’s code and a link.
Modules
5 questionsCan we configure workflows to match our policy?
Yes. Stage names and descriptions, durations, reminder days, escalation, optional approval levels and required conditions are edited and published as a new version. Workflows already under way stay on the version they started with.
Does EnaTTO replace funders’ application portals?
No. EnaTTO manages internal preparation, approval and tracking: the funding catalogue, calls, project proposals, submissions, budget, milestones and reports. The official application is made in the funder’s own portal.
How does matching work for industry demands?
It is rule-based: experts and laboratories are ranked by shared keywords, sector and the requested service, with the reason shown. Your TTO team decides whom to contact; no message is sent automatically.
What appears in the public technology catalogue?
Only technologies your TTO publishes explicitly, with their code, title, promotional summary, sectors, keywords and current TRL. To publish, every linked invention disclosure must have a recorded institutional decision.
How are event certificates verified?
Attendees who reach the attendance threshold receive a PDF certificate. Anyone can enter the certificate code on the verification page to see whether it is valid.
Confidentiality and security
4 questionsIs our data stored together with other institutions’ data?
No. Every organisation runs in a separate environment with its own database, document storage and configuration. Records are not shared between organisations.
Which confidentiality classes are there?
Public, internal, confidential and strictly confidential. Invention disclosures open as confidential. For someone without access, a record comes back as not found. Access to a strictly confidential record is opened with a reason, audited and reported to the people responsible.
Does EnaTTO decide on patentability or ownership?
No. Patent ownership, inventor rights, contribution shares and revenue sharing are records entered explicitly by users. The system does not derive or suggest them and sets no defaults.
Can we see who changed what?
Yes. Every change, every opening of a confidential record, every document download and every access change is written to an append-only audit log, with personal fields masked.
Data and integrations
5 questionsWhich external sources does it work with?
Publications can be imported from OpenAlex with an ORCID iD or from Crossref with a DOI. For patent applications, the published document’s data and EP Register status can be read from EPO Open Patent Services. External sources are queried by identifier only.
Does it check TÜRKPATENT applications?
TÜRKPATENT has no public API, so Turkish applications are only checked against EPO data if they have been published there. You decide which fields to update.
Can we import people and units in bulk?
Yes, from a CSV or Excel file. A preview shows the outcome of every row before anything is saved, and every record added or updated when you apply it is audited.
Can we export reports?
Yes. Period indicators, dashboards and record lists are exported as Excel or CSV. Only the requester can download the file, and it is deleted after 7 days.
What does AI assistance do?
It is optional and off by default. When switched on, it suggests keywords and sectors, ranks candidates for an industry demand and drafts an editable report from indicators. Confidential and strictly confidential records are never sent, and suggestions are never written to a record automatically.
Languages and countries
4 questionsWhich languages are available?
Turkish and English. The German interface is available as a preview; e-mails and export files generated by the server are in English for now.
What do country profiles change?
The suggested patent offices, national funding programmes and reporting framework labels for the organisation’s country. There are profiles for Türkiye, Germany, the United Kingdom, the Netherlands and Switzerland; other countries get a general international profile.
Does a country profile make a legal assessment?
No. A profile is data: suggested offices and deadlines are reminders, and the legislation section only links to sources.
Does it work across time zones?
Yes. The time zone is an organisation setting; “today” and due dates are calculated accordingly.
Getting started
4 questionsHow do we get started?
We start with a demo, then run a pilot with your office’s real workflows, and then open your organisation’s environment at its own address.
What are your prices?
We do not publish prices on the site. We clarify the scope together after the demo and send our quote in writing.
Where is our environment hosted?
The hosting region is agreed with the organisation at setup and written into the contract.
Can we sign in with our institutional account?
Yes. Institutional single sign-on (SSO) can be set up; on first sign-in, a user is matched to the directory person with the same e-mail address.
Didn't find your answer?
Our team usually replies on the same day during weekday business hours.
