Document store

Keep policies, templates, contracts and reports in the EnaTTO document store with versions, confidentiality classes, access and an approval workflow.

Documents is EnaTTO's document store: policies and regulations, templates, contracts, forms, reports, presentations and correspondence. Every document has a confidentiality class and a version history. Other records (disclosures, agreements, events, committee decisions) link to documents by their code instead of storing files themselves.

Required role

  • Manage documents (TTO staff, Owner): all documents, within the access rules.
  • View documents (Member): the documents they have access to.

Add a document

Go to Documents → Add document. Enter the Title, Description, Type (Policy / regulation, Template, Contract, Form, Report, Presentation, Correspondence, Other) and the Confidentiality.

On the document page click Upload file. PDF, Office, OpenDocument, text, image and ZIP files up to 50 MB are accepted.

The document's code (for example DC4K7M2Q) is what you enter elsewhere to attach it.

Versions

Upload new version adds a version with an optional Version note; earlier versions stay under Versions with who uploaded them and when. Download gets a specific version. Every view and download of a confidential or strictly confidential document is written to the audit log.

Access

The Access card lists who can see the document and in which role. Add person gives an organization member a role on this document (for example Viewer, Reviewer, External expert or Patent attorney) with an optional end date and reason. For external experts and attorneys an end date is required; access closes automatically after it. Remove access takes it away. See Confidentiality and access.

Approval

A document can go through the Document approval workflow: Preparation → Review and approval → Approved. Start it on the document page; submitting requires an uploaded file. Reviewers and approvers come from the Document reviewers and Document approvers pools. See Workflows.
