A committee is a group of people who decide on records in meetings: for example an IP committee that decides whether to protect an invention. EnaTTO keeps the members, meetings, agendas, attendance, conflicts of interest and decisions.
Required role
- Creating committees and managing members: Configure workflows (Owner, Administrator).
- Planning meetings, setting the agenda, taking attendance and recording decisions: the committee's Chair and Rapporteur, or someone with Configure workflows.
- Only managers and the committee's members see a committee.
Create a committee
Go to Committees → Create committee. Enter the Committee name, the Quorum (the minimum number of members who must attend for a decision) and the Vote recording: Vote totals (for/against/abstain) or Per-person votes.
Under Members → Add member choose organization members and their role: Chair, Member or Rapporteur. You cannot add yourself; another manager has to add you. A new member also gets access to records on open agendas.
To make a committee decide on invention disclosures, select it as the deciding committee of the committee stage in the workflow settings.
Plan a meeting
On the committee, Meetings → Plan meeting: date and time (in your organization's time zone) and Location (a room or an online link). Members are notified.
Agenda → Add record: choose the record type (Document or Invention disclosure) and enter its code. You can only add records you can see. Disclosures waiting in this committee's stage show Workflow awaits decision.
At the meeting, mark each member Attended or Absent and click Save attendance.
Committee members can see the agenda records until 30 days after the meeting. A member who joins the committee later does not get access to strictly confidential agenda records.
Conflicts of interest
A member with a conflict of interest on an agenda item clicks Declare conflict of interest. They lose access to that record, cannot vote on it and do not count towards its quorum. This cannot be undone.
Record a decision
On the agenda item click Record decision:
- Outcome: for a disclosure in the committee stage, the outcomes of that stage (Protect, Do not protect, Release to inventors, Defer); for other records Approved, Rejected or Deferred.
- Votes: totals of For, Against and Abstain, or each member's vote, depending on the vote recording. Only members who attended without a conflict vote.
- Rationale and an optional Decision document (a document code).
If fewer eligible members attended than the quorum requires, EnaTTO does not let you record the decision; save the attendance first. For a disclosure in the committee stage, the recorded outcome moves its workflow on (Workflow moved on). For other records the decision is recorded and the workflow does not change. The record owner is notified.
Cancel meeting stops further agenda changes and decisions for that meeting.
Decisions are taken in meetings
Voting outside a meeting (electronic voting) is not available yet.
